Overview

The Balance report gives admins a snapshot of employee leave balances for a chosen report date. You can use it to review balances for payroll, audits, or leave-year planning without opening each employee record one by one.

Who can use this

  • Company admins

Before you start

  • Go to Reports.
  • Open the Balance tab.
  • Choose the report date you want to review before you export or share the results.

Step-by-step guide

  1. Open Reports and select Balance.
  2. Click the date field and choose the date you want the report to reflect.
  3. Search for an employee if you want to review one person only.
  4. Filter by Department or Leave type if you want a narrower result set.
  5. Turn on Include future booked if you want booked future leave to count in the used and available amounts.
  6. Click an employee row to open that employee’s details page.
  7. Change the page controls at the bottom if you need to review more rows.

What the report shows

The table includes:
  • Employee name and email
  • Department
  • Start date
  • Tenure
  • Leave year
  • Leave type
  • Annual allowance
  • Allocated
  • Carry over
  • Adjusted
  • Used
  • Available

How the report date works

The report shows balances for the leave year that contains the date you select. If your company leave year crosses calendar years, the Leave year column shows the period as a range such as 2026-2027. The Used column changes based on the Include future booked filter:
  • With Include future booked turned off, the report shows leave used up to the report date.
  • With Include future booked turned on, the report also includes booked future leave that falls inside the same leave year.

What happens next

  • Teamper keeps the current filters and pagination on screen while you review the report.
  • Opening an employee row takes you to that employee’s details so you can inspect the balance in more detail.
  • You can export the current report view when you need to share or archive it.

Troubleshooting

The report shows fewer rows than expected

Check the selected report date first, then clear the employee, department, and leave type filters. If Include future booked is off, future booked leave does not count in the used or available totals.

The leave year looks different from the calendar year

Teamper uses your company leave year, not always January to December. Review the Leave year column to confirm which balance period the report date falls into.

You need more detail for one employee

Click the employee name in the report to open that employee’s details page.

FAQs

When should I use the Balance report instead of the Leave Requests report?

Use Balance when you need a balance snapshot for a date. Use Leave when you need request history, approvals, or request-level details.

What does Unlimited mean in the report?

It means that leave type does not use a fixed numeric allowance, so Teamper does not show a limited annual allowance or available balance for that row.
