Goal

Use this guide to get a small pilot or first rollout running quickly. You will configure the minimum setup, submit one test leave request, approve or reject it, and confirm that the result is visible. This is a launch check, not a complete configuration guide. After the test succeeds, use the linked admin pages to finish your setup or import the rest of your employees.

Before you start

Have these ready:
  • Company admin access.
  • The company work week, workday length, and holiday country.
  • One department or team and the leave approver route you want to test.
  • One active leave type and leave policy.
  • One test employee and access to that employee’s email.
If Teamper shows onboarding, you can use it for company basics, the initial leave policy, and inviting teammates. Use the admin pages below when you need more control.

Fastest setup path

1. Set company basics

Open Company settings and confirm:
  • Fiscal Year Start Month
  • Length of Workday (hours)
  • Holiday Calendar Country
  • Work Week
Save your changes.

2. Create one department or team

  1. Open Departments.
  2. Create the department for your test employee, or create a team by choosing a Parent department.
  3. If you will test Department approvers, add a direct approver to the exact department or team.
  4. Save the unit.
A team does not inherit its parent department’s approvers. Add a direct approver to the team before choosing Department approvers for an employee in that team.

3. Make one leave type and policy ready

  1. Open Leave types and confirm that at least one leave type is active.
  2. Open Leave policies and create or open the policy for the test employee.
  3. Confirm that the leave policy has an active rule for the leave type.
  4. Set it as the default policy if new employees should use it automatically.
You can refine allowance, accrual, carryover, and negative-balance rules after the first test. See leave policy rules for those settings.

4. Add and invite one test employee

  1. Open Employees.
  2. Add the test employee.
  3. Assign the employee to the department or team, holiday calendar, and leave policy.
  4. Choose the employee’s leave approver route: Department approvers, Line manager, Custom, or No approver.
  5. Send the invite.
For a larger rollout, use Import employees after this test succeeds.

5. Submit and review one request

  1. Sign in as the test employee and submit a leave request.
  2. If you selected an approver route, sign in as the assigned approver and open approval requests.
  3. Review the request and click Approve, or enter a Reject reason and click Reject. If you selected No approver or a self-approver route, confirm that Teamper approved the request automatically.

6. Confirm the result

Check that:
  • The employee can see the request status and balance.
  • The approver can see the decision.
  • The request appears as expected in the wallchart for the employee, their direct manager, direct department or team approvers, and admins according to each person’s access.
  • The request appears in the leave request report.

If the test fails

The employee cannot request leave

Check that the employee has an active leave policy and that the leave type and rule are active.

The approver cannot see the request

Check the employee’s Leave approver route. Then check the selected line manager, custom approvers, or direct approvers for the employee’s exact department or team.

The leave duration looks wrong

Check the work week, workday length, holiday calendar, and leave type duration unit.
