Overview

Use Import in the asset register when you want to add many assets without creating them one by one. Teamper lets company admins upload a UTF-8 CSV, map source columns, review every row, and save the import only after the preview is valid. This flow is create-only. It does not update existing assets, and Teamper blocks the whole import if any row still needs fixing.

Who can use this

  • Company admins in companies where the asset_tracking module is enabled

Before you start

  • Make sure the assets you want to import do not already exist in the same company with the same asset_code
  • Make sure any assignee email in the CSV belongs to an invited or active employee in the current company
  • Save the file as UTF-8 CSV if your spreadsheet tool gives you multiple export options
  • Keep the import to 200 asset rows or fewer after blank rows are removed
Only company admins can run this import. Implementation teams can prepare the CSV, but an admin must complete the import in Teamper.

What you can import

Required mappings:
  • Asset code
  • Name
Optional mappings:
  • Category
  • Serial number
  • Purchase date
  • Purchase cost
  • Warranty expires on
  • Assignee email
  • Notes

How the import behaves

  • Teamper treats asset_code as the unique create key for this flow.
  • The import only creates new assets. It does not update an existing asset with the same asset_code.
  • Teamper trims extra spaces before checking asset_code, name, category, serial_number, notes, and assignee_email.
  • asset_code matching is case-insensitive, so values such as LAP-001 and lap-001 count as the same code.
  • A blank assignee_email creates the asset as available.
  • A matched assignee_email creates the asset as assigned.

Step-by-step guide

1. Upload the CSV

  1. Open Assets.
  2. Click Import.
  3. Click Download template if you want a starter file.
  4. Choose the CSV file.
  5. Review the create-only helper copy on the page.
  6. Click Analyze file.

2. Map your columns

  1. Review the suggested mappings on Map your columns.
  2. Confirm that Asset code and Name are mapped.
  3. Add any optional mappings you want to include.
  4. Check the sample values to confirm Teamper is reading the right source column.
  5. Leave extra source columns unmapped if you do not need them.
  6. Click Preview import.
Teamper accepts flexible source headers. You do not have to match the template headers exactly.

3. Review the preview

  1. Review the row counts for Create and Needs fixing.
  2. Check the derived status for each row.
  3. Review the assignee resolution shown for each assignee_email.
  4. Review any field-level errors before continuing.
  5. Fix the CSV and upload it again if any row is marked Needs fixing.
  6. Click Confirm import only when every row is ready.
Confirm import is the only confirmation step. Teamper does not create any assets until you click it.
The import is all-or-nothing. If any row is invalid, or if company data changes before commit and causes a new validation error, Teamper does not save any assets from that batch.

4. Review the result

  1. Review the Import complete page after a successful import.
  2. Check the created count.
  3. Review the row-level results and imported values.
  4. Click View assets to return to the register.
The result page is a saved summary of what Teamper already created. It is not a second approval step.

What happens next

  • Teamper creates every valid row in one import transaction after you click Confirm import.
  • Imported rows with a matched assignee start as assigned.
  • Imported rows without an assignee start as available.
  • The result page stays available during the current import flow, but Teamper can clear it when you start a new asset import.

Troubleshooting

Analyze file does not continue to mapping

Check for an empty CSV, malformed CSV formatting, invalid UTF-8, no asset data rows, or more than 200 asset rows after blank rows are ignored.

Preview import says required fields are missing

Check that Asset code and Name are each mapped to a different source column.

Preview import shows duplicate or existing asset codes

Check whether the CSV repeats the same asset_code, even with different letter case or extra spaces. Also check whether that asset_code already exists in the current company.

Preview import says the assignee email does not match

Check that the email belongs to an invited or active employee in the current company. Archived employees cannot be assigned through this flow.

Preview import shows date or cost errors

Check that purchase_date and warranty_expires_on use YYYY-MM-DD, that warranty is not earlier than purchase date, and that purchase_cost is a non-negative decimal with up to two decimal places.

Confirm import is disabled

Check whether any row is still marked Needs fixing or whether the CSV file needs to be selected again after a page refresh or after reopening the step.
