Overview

Each department and team can have its own direct approvers. These approvers receive an employee’s future leave requests only when that employee uses the Department approvers route. A team does not inherit approvers from its parent department. Department and team approvers also gain Wallchart visibility for employees assigned directly to the unit they approve.

Who can use this

  • Company admins

Before you start

  • Create the department or team first.
  • Make sure each approver has an active employee record and can sign in.

Step-by-step guide

  1. Go to Departments.
  2. Create a unit or edit an existing one.
  3. In Approvers, search for and select one or more employees.
  4. Click Create or Update.

What happens next

  • Employees assigned directly to this unit can route future leave to these approvers when their employee-level route is Department approvers.
  • Employees using Line manager, Custom, or No approver do not use the department or team’s approvers for leave.
  • Pending requests keep the approvers assigned at submission, even if the department setup changes later.
  • Approvers can see directly assigned employees on Wallchart. A parent department approver does not automatically see or approve employees in its teams.

Troubleshooting

A manager cannot see requests to approve

Open the employee record and check Leave approver first. If it is Department approvers, confirm the employee’s direct department or team and check that the manager is an approver for that exact unit.

A parent department approver cannot see a team’s request

This is expected. Add the person as a direct approver for the team, or choose another employee leave route.

You cannot save the department after adding approvers

Confirm that each selected person is active and can sign in. Your plan may also limit the number of approvers per department or team.
